Team Sports Ledger (“we”, “our”, “us”) is a financial management platform for youth sports teams. Our service is available at www.teamsportsledger.com.

Account data: When you sign up, we collect your name and email address through Clerk (our authentication provider).

Team & financial data: Fee amounts, expense records, receipts, and audit logs that you create inside the platform.

Payment data: When subscribing to a paid plan, payment is handled entirely by Stripe. We never store card numbers or full payment details — only a Stripe customer ID and subscription status.

Usage data: We use Google Analytics to collect anonymised data about how visitors use our website (pages visited, session duration, device type). No personally identifiable information is sent to Google.

Newsletter: If you voluntarily submit your email to our mailing list, we store it via Resend to send you product updates. You can unsubscribe at any time.

We use your data to:

• Provide and operate the Team Sports Ledger service
• Process subscription payments via Stripe
• Send transactional emails (email verification, fee reminders, receipts)
• Send product updates to newsletter subscribers (with your consent)
• Improve the product using anonymised usage analytics
• Detect and prevent fraud or abuse

We do not sell your personal data to third parties.

We use the following third-party services that may process your data:

• Clerk — authentication and user management (privacy policy)
• Stripe — payment processing (privacy policy)
• Supabase — database and file storage (privacy policy)
• Resend — transactional and marketing email (privacy policy)
• Google Analytics — anonymised usage analytics (privacy policy)
• Vercel — hosting and edge network (privacy policy)

We use cookies and similar technologies to:

• Keep you signed in (authentication session cookies via Clerk)
• Measure anonymous website traffic (Google Analytics)

You can disable cookies in your browser settings. Disabling authentication cookies will prevent you from signing in.

We retain your account data for as long as your account is active. If you delete your account, your personal data is removed within 30 days, except where we are required to retain it for legal or accounting obligations.

Financial records (expenses, fees, audit logs) may be retained for up to 7 years for accounting compliance purposes.

Depending on your location, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your account and associated data
• Object to or restrict certain processing
• Data portability (receive your data in a machine-readable format)

Team Sports Ledger is not directed at children under 13. We do not knowingly collect personal data from children. Player roster entries (names, jersey numbers) are managed by adult team administrators and do not create accounts or logins for minors.

We take security seriously. All data is encrypted in transit (TLS) and at rest. Access to production systems is restricted and audited. Payments are handled entirely by Stripe and never touch our servers.

We may update this policy from time to time. We will notify registered users of material changes by email. Continued use of the service after changes constitutes acceptance of the updated policy.
